Buying supplier onboarding software? Test the retail workflow before the feature list
Evaluate supplier onboarding software against real retail workflows, data ownership, integration responsibilities and business acceptance.
A supplier portal demonstration can show a clean submission becoming an approved record. Your requirements need to explain what happens when the submission is incomplete, the commercial meaning changes or a downstream system rejects it.
Before an RFI or RFP, define whether the purchase covers supplier registration, item-data onboarding, transaction enablement or a combination. Include the people responsible for merchandising, master data, finance, supply chain and technology where their processes are affected.
Five scenarios to put into the evaluation
1. An item is incomplete.
Ask the provider to show the validation message, correction owner and resubmission process. Distinguish a genuinely optional field from one required by the receiving system.
2. A case pack changes.
Trace the effective date and impact on downstream units. Ask who approves the change and how an incorrect conversion is detected before operational use.
3. A smaller supplier cannot use the preferred format.
Test the supported alternative, manual work involved and responsibility for maintaining quality. Do not assume every supplier has the same technical capability.
4. The connection works but the business transaction fails.
Test a representative order, receipt or invoice against agreed business expectations. Identify who resolves a dispute across systems or organizations.
5. The rollout expands.
Introduce another banner, location group or trading requirement. Establish what is configuration, engineering, supplier work or an additional commercial commitment.
Record evidence, not just a score
For each scenario, retain the demonstrated result, dependencies, unresolved assumptions, accountable owner and acceptance condition. Separate capabilities shown in the product from work promised for implementation. Compare ongoing responsibilities as well as initial purchase costs.
The purpose is not to make the requirements document longer. It is to make the buying decision and delivery obligations clearer before a contract is signed.
EIG provides retail business and technology consulting, including requirements analysis, RFI/RFP preparation, vendor evaluation and implementation readiness. For supplier workflows, we connect the selection decision to data ownership and business acceptance. We do not sell a supplier portal or assume every platform requires replacement.

Make the handoff testable
If the problem is inconsistent fields, units or transaction handoffs, a new portal is only one possible response. First establish what the receiving business process requires.
EIG’s systems and data integration analysis can produce a source-to-target mapping record, harmonization requirements and business acceptance scenarios. The review distinguishes a record arriving from a record being usable.
For one representative field, record its source meaning, target meaning, unit, transformation rule, effective date, owner and expected test result. Keep uncertain definitions open until the responsible person validates them.
Connector development, managed EDI operation and platform-specific engineering are separately scoped; they are not implied by the analysis package.
